RENTAL APPLICATION
All parties interested in leasing Taco Bell Arena are required to complete a rental application/lessee information form. An event cannot be booked without an approved application on file. Submittal of an application does not guarantee date availability or that the application will be approved.
Upon receipt of the completed lessee information form, Arena Management will review the application and make a determination as to whether the proposed use is approved. As a public facility on a university campus, Taco Bell Arena Management must assure the financial viability, ongoing maintenance and integrity of the facility. Approval of the application will be based upon the following:
HOLDING CALENDAR DATES & CHALLENGE POLICY
A “first hold” will be given to the group requesting specific available dates upon completion and approval of this application. Taco Bell Arena will reserve the dates you are requesting in the name of the talent/entertainer. If another group desires to lease the venue for any portion of the “first hold” dates, the group that received the “first hold” will be challenged and required to pay the standard non-refundable deposit and complete a rental contract within 48 hours of notification. Failure to complete these requirements in the allotted time will result in a release of the date(s) to the challenging group. However, before a challenge can be initiated on the “first hold”, the second party must pay the standard non-refundable deposit.
RENTAL RATES*
The following basic rental terms apply to any commercial use of Taco Bell Arena; rental rates may be influenced by the type of event, the span of time, and the space used.
In addition to the rental expense, all costs associated with the event are payable by the lessee and shall be reimbursed to Taco Bell Arena either during event settlement or, in some instances, may be payable in advance, such as a damage deposit. Event specific estimates can be provided after review of the show rider.
*All rates are subject to change without notice.
CONTRACTING
All lease terms are considered to be tentative until a contract has been fully executed and delivered by both parties. An event to be held in Taco Bell Arena will not go “on-sale” or be advertised without a fully executed contract, unless otherwise arranged in a term sheet signed and delivered by both parties.
Communication of intent is required from the potential lessee to initiate a contract from Taco Bell Arena. Communication of intent can occur via email or letter, and must include the following disclosures:
Two copies of the contract will be generated as soon as the application has been approved and rental terms have been specified. Both copies must be signed and returned to the Arena, and then a fully executed copy will be sent back to the lessee. Once the contract has been signed, the non-refundable deposit is due.
If determined necessary by Arena Management, additional deposits may be required to cover the balance of the minimum rental fee, potential damage to the facility, estimated staffing expenses, production and equipment costs, etc.
ADVANCING THE EVENT
Upon execution of the contract, the event will be assigned an Event Manager who is responsible for all operational details of the event including advancement, move-in, event performance and move-out. The Event Manager is the lessee’s liaison with Taco Bell Arena and will provide all necessary information and coordination with Arena staff and contracted services.
Following discussion with the lessee and receipt of the show rider, the Event Manager will prepare an itemized estimate of event expenses that the lessee will be financially responsible for at event settlement. A copy of the estimate will be provided to the lessee. Taco Bell Arena Management determines all necessary levels of staffing to ensure safety.
If ticket sale proceeds may not be sufficient to cover the estimated event expenses, Taco Bell Arena may at its sole discretion require additional deposits prior to the event date. If the required deposits are not received in the designated time frame, the event may be cancelled and the lessee’s original non-refundable deposit would be forfeited. The Director of Marketing will communicate to the lessee if any additional deposits are due prior to the event date.
FINANCIAL SETTLEMENT
At the conclusion of the event, the lessee will be responsible for payment of all outstanding event expenses incurred by Taco Bell Arena. The lessee will be provided all event documentation. In the event that ticket proceeds are not greater than the expenses due, the lessee shall be responsible for payment of those expenses in full at the time of settlement.
